What is Core925?
Core925 is a delivery intelligence platform designed for professionals and teams who charge for their work. It helps you track time, manage clients and projects, generate quotes and invoices, and understand how your work translates into revenue and profitability.
How do I get started with Core925?
Start by setting up your workspace:
- Add your clients
- Create projects for those clients
- Configure segments and deliverables
- Assign team members to projects
- Start tracking time
Once time is captured, you can generate quotes, invoices, and reports.
What are Segments and Deliverables?
Segments are categories of work, and deliverables are specific outputs within those categories.
Example:
Segment: Development
- Website Development
- API Integration
- Bug Fixing
This structure helps standardise how work is tracked, billed, and reported.
Time Tracking
How do I track my time?
You can track time in two ways:
Start / Stop Timer
Use the timer to track time while you work.
Manual Time Entry
Capture time manually if the work has already been completed.
Both methods allow you to assign time to a client, project, segment, and deliverable.
Can I edit a time entry?
Yes, you can edit time entries to update:
- Date
- Project
- Deliverable
- Description
- Hours
This ensures your billing and reporting remain accurate.
What happens if I forget to stop the timer?
If a timer is still running, Core925 will show a running indicator so you can stop it at any time. You can also edit the entry afterward if adjustments are needed.
Clients & Projects
How do I add a client?
Go to the Workspace section and add a new client. You can store:
- Client name
- Contact person
- Email address
- Phone number
Each client can have multiple projects.
How do projects work?
Projects belong to a client and represent a specific job or engagement.
Examples:
- Website Redesign
- Branding Project
- Monthly Consulting
Time tracked against a project can later be used for quotes, invoices, and reports.
Can multiple team members work on the same project?
Yes. Projects can have multiple team members assigned, allowing teams to track their work collaboratively.
Quotes
How do I generate a quote?
Quotes are created by selecting deliverables and estimating the hours required for each. Core925 automatically calculates the total based on your hourly rate and estimated hours.
Can I send quotes to clients?
Yes. Quotes can be sent directly via email and downloaded as a PDF document.
What happens when a quote is accepted?
Accepted quotes can be converted into invoices, allowing you to bill based on the approved scope.
Invoices
How are invoices generated?
Invoices are created from tracked time or converted quotes. Core925 calculates totals automatically based on your hourly rate.
Can invoices be emailed to clients?
Yes. Invoices can be:
- Downloaded as PDF
- Sent directly via email
Can I apply discounts?
Yes. Discounts can be applied as a percentage, and totals are automatically recalculated.
Reports
What reports are available?
- Project Reports – track activity per project
- Team Reports – monitor team productivity
- Time Reports – view logged hours across projects
What can I learn from reports?
- Hours spent per project
- Team member productivity
- Deliverables consuming the most time
- Billable activity across clients
Account & Settings
Where do I configure my hourly rate?
You can set your hourly rate in General Settings. This rate is used for quotes, invoices, and billing calculations.
Can I update my business details?
Yes. Business information such as company name, address, and banking details can be configured in General Settings and will appear on invoices and quotes.
Can I update my profile?
You can update your profile picture, contact details, and password from the My Profile page.
Subscription
Can I upgrade or downgrade my subscription?
Yes. You can manage your subscription from the Subscription page and change your plan at any time.
What happens if I reach my plan limits?
If your plan limit is reached (for example quotes or users), Core925 will notify you and prompt you to upgrade.
